What is a movie call sheet?
If you’re making a movie with any size production, then you’ll want a movie call sheet template to help organize your whole team’s day. A call sheet sets the table for what everyone’s job will be, where the set or sets are located, and when each scene will be filmed. And with a reliable pre-structured template, filling out call sheets everyday becomes a breeze.
With this guide, we’ll break down the broadest and most common steps to follow while filling out a movie set call sheet template. We’ll be using StudioBinder’s call sheet builder to showcase our examples, so without further ado, let’s get started!
1. Fill out header details
Your entire team will need to all be informed on a general date and call time for the day, so make sure you set that info top and center. When beginning a new call sheet project, an automatic pop-up will prompt you to detail this info first:

The remainder of the header on your movie call sheet template should display the title or working title of the project, producer and 1st AD names, as well as the Studio’s name, number and address (of course, if applicable).
We’re also adding a small general schedule for the day to the right of our header. Though this isn’t the full detailed shooting schedule (that will come later), it’s still helpful to give your production team a smaller, more digestible idea of the day on top.

2. Show locations
Next, let’s jump right into displaying the film location(s) for the day below the header. There’s no shortage of new location columns you can add to your grid, so don’t worry about losing space.
As you can see with our movie call sheet template, we’re also adding a nearby crew parking lot address for each shooting set, as well as the nearest hospital at place.
And if you want to import any of your previously saved locations, just click Import Location at the bottom of your location grid.

3. Detail the schedule
Now you’re ready to showcase the day’s full, detailed shooting schedule on your filming call sheet template. For our call sheet, we’re toggling on our day/night shoot column, as well as our cast, stage location and estimated shoot time columns.
For anything that doesn’t involve shooting a scene, like meal breaks or camera equipment breakdowns, just click +Banner at the bottom of your grid.

4. List cast, crew & extras
The full listing of your cast, crew and any extras that need to be on set for the day comes next on your call sheet template movie doc. Show the cast list first, and be sure to coordinate with any actor assistants to establish pickup times that work relative to their on-set call time.

Then enter the crew list next on your movie call sheet template. This is usually the longest of these three grids, but less detail will need to be sorted in each crew member’s column. Just get their job title, and general call and wrap time situated in there and you're all good.
If you have any extras needed on set, list their roles, their hair and makeup call time, and their on-set call time.
Schedule shifts are bound to occur for some individuals, so just click on their time slot to readjust their status.

5. Add department notes
Oftentimes you’ll receive emails with little tidbits of information that certain departments want everyone to be aware of. This is why adding a ‘department notes’ section to your free movie call sheet template will be helpful.
Just enable a notes grid and place it toward the bottom of your call sheet. Then start condensing and organizing all that information in each department’s notes section.

Looks like your movie call sheet template is really coming into its own now! You’re just about ready to send it off to everyone in production.
6. Include private messages
As your call sheet for film template starts wrapping up, you may have some specific messages you’d prefer to attach with some people’s copies. This can be done on the ‘adjust recipient details’ page as you prepare to send your call sheet.
Just click on one or several names that you’d like to send your message with and type it in the empty private note field.
For our call sheets template example, we’re relaying some thank yous from our executive producer to our cast for their work these past several weeks.

7. Send and track call sheet
Now that your filming call sheet template is approved and ready to be sent, give it one last read through before clicking Send Call Sheet.

You’ll then be able to keep track of who has and hasn’t received your call sheet for film template. If anyone’s status reads as ‘bounced,’ then that means the email doesn’t exist or was entered incorrectly.
